(General Tour mailing, Tuesday, January 11, 2000)

GENERAL CHINA TOUR MAILING (#1)

This is one of few mailings that you will receive since the primary method of communicating news about the China Tour will be via emails and the China Tour Webpage. (ntjazz.com/chinatour) For that reason it is important that you check your email at least every few days and log on to the webpage often as well.

Enclosed is information about how we will be able to accommodate 14 additional adult guests on the tour. We wanted to get this out to our families as soon as possible. For those who might be interested in travelling, it requires a response. Another mailing with legal and medical forms will soon be coming via the mail.

Other important information…

1.        A $300 payment was due on January 1, 2000. We will not be sending bills or reminders about payment being due on the first day of each month.  Enclosed is a form you may use if you wish to charge the remaining portion of the trip to a credit card. Many families are doing this to get the benefits from their card companies for air miles, etc. You may charge anytime during the month of January and you may only charge one time.

2.        A “test email” will be sent this week to every email address provided when people obtained a password for the locked areas of the webpage. Please do what the email requests so that we can establish our email distribution lists for quicker communications. If there is just no way that you can obtain access to the Internet or email, then have your son or daughter see their director for printouts of the webpage.

3.        Passport and visa pictures have been taken at school. If you need a form for a new passport, or a renew form, see Mr. Warrick. (The gray form is for new, and the red form is for renewal.) You cannot obtain a visa for this trip on your own, that is something that our tour operator will do for us. If you need two of our pictures back to submit with a new or renewal form, see Mr. Warrick. If you didn’t get pictures made, GET THEM DONE FAST!!!  (See the webpage for the number and location of two stores that will take your picture. Remember that you need 2 for a passport, and 2 for a visa.)

4.        It is time for us to obtain money from tour families for the visa. PLEASE SEND A CHECK PAYABLE TO “New Trier High School” WITHIN ONE WEEK for $70 (to cover all related costs for a group of this type).  As mentioned in the initial tour proposal, passport and visa costs are yours to bear.

5.        As you have seen on the webpages, we need prizes donated for the “Weight to go” Contest. It is the responsibility of our tour families to act as our agents and search out prizes. We currently have several prizes, but we cannot start the contest until we have many more. Once we are ready to begin the contest, we will provide every participant with forms to use to request from people a minimum donation of $2 to participate in the contest.

6.        Our Dance Committee is hard at work, but they need some input from parents regarding the amount of interest or support they can expect if we undertake a “Big Band and Strauss Waltz Dance.”  Enclosed is a letter from the Dance Committee that requires immediate attention. PLEASE SEND AN EMAIL IMMEDIATELY (or call) TO Sharon Pietrzak-Suzda (SPS901@aol.com) tele 847-256-7654 .  We do not want to put the effort into planning a dance and taking class time to learn all of the necessary music if there will be tepid response from our “Ticket Agents,” who are our tour families.

7.         Enclosed are two ticket envelopes, which were distributed today in class. Here is the breakdown on how sales are distributed to the tour. 

  1. Jazz Festival (Feb. 5, 2000)- Reserved seat tickets are $20 each. No proceeds go to the China tour.
  2. Chick Corea/Gary Burton Duet (April 29,2000)- Reserved tickets are $20 or $25 each, depending on when the tickets are purchased. All proceeds (after expenses) go to the general China tour fund to help pay chaperone costs and perhaps lower student costs.
  3. Spring Jazz Concert (April 14, 2000)- General admission tickets are $5 each. $4 will go toward the seller’s individual account, and $1 will go to the general China tour fund to lower everyone’s costs.
  4. Spring Orchestra Concert (April 28, 2000)- General admission tickets are $5 each. $4 will go toward the seller’s individual account, and $1 will go to the general China tour fund to lower everyone’s costs.

8.        The China tour CD (Beijing, My Kind of Town) is recorded and currently being produced. Every effort is being made to have it in our hands by the February 5 Jazz Festival. You will be provided the number of CDs you committed to sell in an earlier handout signed by students and parents. Since we have ordered 2,000 CDs, we will plenty for you to sell once you sell the number you ordered. CDs are $15 each, with $10 going directed to the seller’s tour expense, and $5 going toward CD expenses.
